Service feedback

Service feedback and improvement

How facts from installation, commissioning and service are recorded and returned to engineering, so that recurring issues are corrected at their cause.

Service as a source of facts

Equipment in service shows how well the requirement, design, manufacture and installation matched reality. Each service request, commissioning observation and installation issue carries information that can prevent the next problem. Invitrona records service work so that this information is not lost when the individual issue is closed.

What a service record holds

A service record identifies the unit and site, and separates:

  • The reported symptom: what the user observed
  • Observations and measurements: what was found on investigation
  • Likely and confirmed cause: kept apart until the cause is confirmed
  • Action taken: work done, parts replaced, settings changed
  • Status at close: operating condition, any remaining limitation, and the customer's acknowledgement

Classifying causes

Closed records are classified by the kind of cause, for example:

  • Application or selection, where the duty or supply differed from the requirement
  • Installation, such as ventilation, cabling or earthing
  • Component or material
  • Manufacturing or assembly
  • Documentation or operating guidance
  • Operation or maintenance

The classification shows where the correction belongs.

Returning facts to engineering

Recurring issues are reviewed together. A pattern of installation faults may lead to clearer preparation guidance; a pattern of component issues may lead to a change of component or supplier; a pattern of selection issues may lead to a revised selection input. Changes that result follow controlling changes, and published guidance is revised in the same way as product data.

Multi-site and OEM programmes

In a programme across many sites, the same issue at several sites is treated as one investigation, not many separate repairs. In OEM programmes, field facts reported by the customer are investigated with the batch and configuration records, and the outcome is shared under the agreed change-notification arrangement.

Feedback from installation and commissioning

Service is not the only source of facts. Observations made during installation and commissioning, such as a ventilation arrangement that differs from the drawing or an input voltage outside the agreed window, are recorded in the commissioning record. They are reviewed in the same way as service records, because they often explain issues that appear later in operation.

Questions you can ask

  • How is the cause of a reported issue confirmed before it is recorded?
  • Will I be told what was found, even when the cause lies outside the equipment?
  • How are repeated issues across several sites or batches handled?

What this means for a buyer

Clear facts in a service request lead to a better investigation. The service request form asks for the unit identity, the symptom and the operating conditions for this reason. Over time, the same facts improve the guidance and the equipment for every buyer.
